Defaulting financial dimensions to a work order

Often there are questions concerning how financial dimensions flow down to the work order postings. The blow outlines this flow and the order in which each source is applied. Remember you always have the option to specify which financial dimensions to use directly on the work order, work order line, item, or hour lines directly.

Financial dimensions are defaulted from the Engineering asset down to the work order line. If the engineering asset register does not have any financial dimensions specified, and the “Enable default dimensions” parameter in the EAM parameters is turned on, the system will look at the engineering asset hierarchy to find default dimensions to use on a first found bases looking at the hierarchy tree from the bottom up. The values it will use in this case can always be seen on the engineering asset in the “Merged financial dimensions” field group.


Financial dimensions on the work order line

The default dimension control fields are available on the work order line and are populated in the following order (highest to lowest priority):
  • Engineering asset – This will usually contain Engineering asset dimension (if set up in the account structure) and also the organization dimension (Department, cost centre – as per the Engineering asset hierarchy)
  •  End engineering asset – If a component was selected the End engineering asset will be where the component was installed and the dimension will be inherited from here.
  • Engineering asset hierarchy – Using the End engineering asset, find where it is in the hierarchy. Then traverse up the tree to default the dimensions. The lowest nodes taking priority.
  • Project - The project may have dimensions set up if it was set up prior to the work order being created. Otherwise, it will inherit the project dimension if it is set up on the account structures.


Financial dimensions on the hours forecast

This will default in the following order (highest to lowest priority):
  • Work order line
  • Project


Financial dimensions on the item forecast

This will default in the following order (highest to lowest priority):
  • Work order line
  • Project
  • Customer
  • Item
When an item forecast is posted, it creates an item journal. The journal shall default the dimension from the item forecast.


Financial dimensions on the Item requirements lines

This will default in the following order (highest to lowest priority):
  • Work order line
  • Project
  • Customer
  • Item


Financial dimensions on hour registrations

This will default from the work order line.
When an hour registration is posted, it creates an hour journal. The journal shall default the dimension from the hours registration.


Updating the financial dimensions on the work order line

As soon as an update to one of the financial dimension values on the work order line is saved, the system will prompt the user to decide if existing forecasts and item requirement lines should be updated as well.

Optionally, the system can be configured to also update existing non posted hour registrations. This update will occur when the user chooses OK in the above dialogue, but only if the parameter in the Enterprise Asset Management parameters has been set to also update financial dimensions on non-posted hour registrations. See paragraph 1.8 for more details on the Enterprise Asset Management parameters.


NOTE: Dimensions are not updated back to the project used for the work order line. If any transactions are posted directly against the project, dimensions will have to be updated manually based on requirement.
